Terms and conditions
Welcome. We’re delighted you’re considering joining The Scented Circle. These Terms & Conditions outline the practicalities of booking and attending one of our retreats. We’ve written them to be as clear, transparent, and human as possible – so you know exactly where you stand. By booking with us, you agree to the terms set out below.
1. Who we are
The Scented Circle Ltd is a UK-based business curating perfume-themed wellbeing retreats in and around Grasse, France.
“We”, “us”, and “our” refer to The Scented Circle Ltd (UK)
“You” refers to the person booking and/or attending the retreat
2. What’s included
Your retreat package includes:
Four nights’ accommodation at our chosen Bastide
Breakfast, lunch and dinner each day
A glass of wine with lunch and dinner (additional alcoholic drinks are payable separately)
All scheduled perfumery workshops and cultural experiences listed in your itinerary
Daily yoga and meditation sessions included in the programme
Use of the accommodation and all amenities, including pool and grounds
Support from your retreat hosts throughout your stay
3. What’s not included
The following are not included in the retreat price:
Flights or travel to/from France
Transfers to the accommodation unless otherwise stated
Additional alcoholic drinks beyond the standard glass served with meals
Travel insurance (strongly recommended)
Any optional wellbeing treatments such as Reiki
Activities, transport, or excursions arranged outside the scheduled itinerary
Optional extras will always be clearly identified as optional.
4. Booking & Payment
Payment is taken securely via our website at the time of booking. A “Pay Later” option may be available via Klarna – this is a separate agreement between you and Klarna. Your booking is confirmed once payment has been received and you receive written confirmation from us.
5. Cancellations & Refunds
If you cancel:
60 days or more before the retreat start date
→ You’ll receive a full refundWithin 60 days of the retreat start date
→ We’re unable to offer a refund
For this reason, we strongly recommend comprehensive travel insurance, including cancellation cover.
If circumstances beyond our control require us to postpone or cancel the retreat, you will be offered:
a transfer to a future retreat, or
a full refund of payments made
We are unable to refund travel, flights, accommodation, or other personal expenses.
6. Travel & Insurance
You are responsible for:
your travel arrangements to and from the retreat
a valid passport and any required visas
suitable travel and medical insurance
We recommend cover that includes:
medical care
cancellation
travel disruption
loss or delay of luggage
7. Health & Wellbeing
Our retreats include gentle yoga, meditation, cultural visits, walking and perfume-related activities.
By booking, you confirm that:
you are physically and mentally able to participate
you will inform us of relevant health conditions, allergies or mobility needs
you understand you are responsible for your own wellbeing
Yoga and meditation are always optional, invitational, and adaptable. Reiki and similar treatments are complementary wellbeing practices – not medical treatment – and are offered as optional extras. If in doubt, please consult a medical professional before travelling.
8. Behaviour & Respect
We aim to create a retreat environment that is kind, inclusive, and respectful – for guests, partners, and hosts alike. We reserve the right to refuse participation without refund where behaviour compromises the safety or wellbeing of others.
9. Sustainability & Responsible Travel
We work thoughtfully with our partners in Grasse and kindly invite guests to respect:
local community and culture
the natural environment
the privacy of our hosts
the spirit of mindful, sustainable travel
10. Photography & Content
We may occasionally take photographs to document retreat life. If you’d prefer not to appear in any images, simply let us know – your wishes will always be respected.
11. Programme Changes
On rare occasions, elements of the programme may need to shift due to weather, partner availability, or other circumstances. If this happens, we will always aim to offer an equivalent experience.
12. Liability
We take great care in creating a retreat that is safe, supportive and beautifully organised. However:
participation is at your own risk
we are not liable for injury, illness, loss or damage to personal property
we are not responsible for external factors beyond our control, such as strikes, weather, transport issues or venue changes
Nothing in these terms limits your statutory rights.
13. Governing Law
As a UK-based business, these Terms & Conditions are governed by the laws of England and Wales. Any disputes will fall under the jurisdiction of the English courts.
